3 Tips for Reducing Your HR Workload

As you’re probably aware, your human resources department is an inherent cost to your company as a whole. It doesn’t serve to create revenue – but it certainly can cut into your profits if it’s inefficiently run.

For this reason, it’s important to determine ways to streamline processes within your HR department in order to cut down on wasted time and energy.


There are a few ways you can make this happen:

Automate Employee Onboarding

Your human resources department is in charge of ensuring new hires complete training and onboarding courses before they’re able to get to work.

But that doesn’t mean they have to do all of the legwork involved in the onboarding process.

Instead, allow your new hires to take ownership of their onboarding. Implement a system that allows them to schedule trainings, view materials, and complete assessments on their own terms.

Your HR personnel should still make themselves available as needed, but they won’t need to spend excess time and energy holding new employees’ hands through the process.

Provide Self-Service Opportunities

Additionally, you can save your HR department time and energy by providing your employees with the ability to access their personnel file electronically without assistance.

If an employee simply wants to double-check information within his file, why should he need to go through a third party within HR to do so? This extra step wastes time and energy for all involved – especially in larger companies with hundreds of employees.

Similarly, if an employee needs to make a small change to his file (such as contact information), there’s no reason he should have to go through the process of checking in with HR to make sure it’s “okay” to make such a change.

By allowing employees better access to their own information, you can allow your HR department to focus on the more important issues that may arise on a daily basis.

Use Document Management Systems

In this day and age, your human resource personnel should rarely – if ever – have to spend valuable time pawing through physical documentation to gather employee information.

An electronic document management system will allow this personnel to quickly and easily find, track, and share employee records with anyone who needs them without digging through a file cabinet.

A document management system also ensures files remain organized and secure. And, unlike with a physical filing system, if information does accidentally get misplaced or deleted within an electronic system, it is easily retrievable.

By implementing an electronic data management system, you ensure your HR personnel can access the information they need right when they need it, then store it securely with the click of a button.
